Job Description
Apex is seeking a Purchase Order Administrator to join our accounting team. This position is responsible for reviewing purchase requisitions for accuracy, issuing purchase orders in compliance with the company contracting policy and monitoring open purchase orders in a decentralized purchasing environment. The ideal candidate will need to be responsible, dependable, and professional, demonstrating a positive attitude, strong attention to detail, and excellent customer service skills. This position offers a hybrid work model, requiring the individual to come into the office at least 2 to 3 times per week, combining remote work flexibility with scheduled in-office presence and collaboration.
Primary Responsibilities
Purchase Requisition Review: Review requisition coding, including GL account, cost center and project. Ensure the requisition has adequate supporting documentation.
Issue Purchase Orders: Generate purchase orders in the procure to pay software in compliance with the contracting policy. Forward purchase orders to the appropriate internal parties for conveyance to vendors.
Monitor Open Purchase Orders: Routine review of open purchase orders for accrual and communication with requesters and vendors on the status of purchase orders.
Maintain records: Keeping organized and accurate records of purchase requisitions and purchase orders.
Communication: written and verbal communication with vendors and internal stakeholders to resolve any purchasing issues or request clarification on purchase requisitions and orders.
Compliance: Adhere to company policies and accounting standards.

Qualifications
To succeed as a Purchase Order Administrator at Apex Clean Energy, you’ll need to excel within the following criteria:
Associate’s degree required, ideally in Accounting, Finance, or related degree
Minimum of 3 years of experience in accounting, with a focus on purchasing, preferably within the renewable energy industry.
Attention to detail and accuracy
Advanced Microsoft Excel skills
Experience with SmartSheet is a plus
Excellent communications skills
Understanding of accounting principles
Strong organizational, time management and problem-solving skills
Experience in project accounting is a plus
Ability to work independently as well as part of a team
Cross functional collaboration
Willing to work from our headquarters in Charlottesville, VA
