POSITION SCOPE AND ORGANIZATIONAL IMPACT

Moss' HR Administrative Assistant provides transactional support for HR systems and processes, including administrative and coordination support to HR Leadership team. This role will assist with data reports, review vendor invoices, and credit card reconciliations related to team member business purposes. This position will monitor various HR inboxes and respond or escalate to the appropriate team, including COE, HR Business Partners, or Leadership.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • Provide general administrative support to HR operations, including document management, scheduling, and correspondence handling

  • Compile and process all HR vendor invoices accurately and in compliance with account payables protocols

  • Process staff expenses and credit card reconciliations, ensuring thorough records and adherence to policies

  • Review and approve business card orders for new hires to maintain alignment with company branding

  • Support HRIS administrative tasks, including data entry, system updates, and user support for HR systems

  • Act as the primary point of contact for general calls and Workday escalations, providing timely and effective support to Team Members and managers

  • Handle simple support tickets that do not require configuration, resolving issues efficiently or escalating them to the appropriate team member

  • Coordinate the verification of employment process, responding to requests from external parties and ensuring compliance with company policies and procedures

  • Maintain accurate records and documentation related to HR administrative tasks, ensuring confidentiality and data integrity

  • Prepare various monthly reports, such as birthday communications and headcount reports, ensuring accuracy and completeness of data

  • Collaborate with other HR team members to streamline processes, improve efficiency, and enhance the overall Team Member experience

  • Stay updated on relevant HR policies, procedures, and regulatory requirements to ensure compliance and provide accurate information to stakeholders

  • Perform other duties as assigned

EDUCATION AND WORK EXPERIENCE

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred

  • Proven experience in an administrative role, with exposure to HR functions preferred

  • Strong communication skills, both verbal and written, with the ability to interact professionally with Team Members at all levels

  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities simultaneously

  • Attention to detail and accuracy, particularly when handling sensitive information and financial transactions

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with HRIS systems (e.g., Workday) preferred

  • Ability to maintain confidentiality and handle sensitive information with discretion

  • Strong problem-solving skills and the ability to work effectively both independently and as part of a team

  • Commitment to providing exceptional customer service and support to internal and external stakeholders

  • Spanish required

  • French creole is a plus
