The Document Controller will be responsible for managing and overseeing the organization, storage, and distribution of all documents within the organization. This includes maintaining document control systems, ensuring compliance with document retention policies, and coordinating the flow of documentation across various teams.
Document Control
- Coordinate with SR400 PP Management to ensure compliance with project requirements, manage documents storage and distribution between Concessionaire and Owner / DB Contractor, ensure timely preparation and distribution of monthly reports and routine correspondence;
- Participate in the development and implementation of the document management system and assist with establishing work processes.
- Prepare, proofread, and edit documents for accuracy and completeness;
- Assist in maintaining a thorough and comprehensive compliance framework and system, which will be subject to regular audits, both internally and externally;
- Coordinate with the Client and DB Contractor to ensure efficient management and submission of project information;
- Review, log, index, distribute, maintain, retrieve, and file a wide range of project records and revision-controlled documents (e.g., drawings, specifications, supplier submittals, correspondence, material requisitions, construction work packages, change documents, etc.) in accordance with established procedures, instructions, and guidelines;
- Perform data entry using an electronic document management system (EDMS);
- Create and/or update desktop work instructions and procedures to ensure consistency across the organization in the naming and filing of all documents;
- Train others in use of software applications used for document management activities;
- Instruct others in the use of the document management system
- Undertake other duties and determined by the SR400 PP management team;
Office Administration
- Organizing general office operation;
- Responsible for administrative functions necessary to support the SPV, including organizing meetings, ensuring timely file close-outs, etc;
- Assist with the procurement process for office equipment and supplies
- Engage in a range of corporate support activities such as preparation of correspondence and coordination with SR400 PP Management team to produce presentations and reports;
- Manage schedules for conference room meetings;
- Submitting work orders and scheduling repairs for general office space and equipment, connecting with and escorting vendors.
Undertake other duties and determined by the PLTP management team
Required Skills and Competencies
- Associate degree or higher in Computer Science, business administration or similar field
- Minimum 3 years of experience in document or records management, preferably in construction field
- Experience of dealing with complex and detailed contracts/documents
- Proven work experience as a Document Controller or similar role
- Experience with Aconex or similar EDMS preferred
- Organized, detail-oriented and accurate
- Strong writing, proofreading, and researching skills; able to read contracts
- Ability to work independently and as part of a team, using good judgement, initiative, planning and follow-through
- Strong communication and interpersonal skills – credible in dealing with Owner, contractor, and consultants;
- Ability to learn new software applications and train others
- Demonstrate ability to handle volume of documents and assignments and able to meet deadlines in a fast paced environment
- Ability to prioritize, handle multiple matters and meet deadlines
- Strong problem-solving ability with the right portion of assertiveness;
- Ability to work under pressure and to deadlines;
- Computer literate, MS Office, and SharePoint skills;
- Active Georgia Notary commission preferred or ability to secure commission within 60 days of hire.
