Job Description

Position Overview
Innovation Hall Coordinator will hold a dual role assisting the Corporate Affairs & Brand Teams and managing the day-to-day operations of the Innovation Hall event space. As the main representative for Innovation Hall, the Coordinator must display strong and assertive communication skills when dealing with event organizers. This role will require time management and attention to detail and will occasionally be expected to work outside of normal business hours (before 8am and after 5pm).

Responsibilities

  • Manage all booking requests and calendars

  • Guide organizers in event planning

  • Setup and breakdown all meetings

  • Coordinate catering for select groups including providing options to requestor, ordering, set up and clean up of food and drinks

  • Keep storage room and meeting rooms clean and organized by sweeping, vacuuming and wiping down tables and chairs between meetings and arranging supplies

  • Refill drinks and supplies daily

  • Drop off and pick up tablecloths from cleaners

  • Set up taste tests from new caterers

  • Create monthly report on usage and catering

  • Train all new EA’s in Innovations booking and amenities

  • Maintain room guidelines and presentations

  • Develop new booking request portal

  • Act as backup to AV Specialist in urgent cases

Minimum Qualifications:

  • 1-3 years of event planning, coordination or administrative experience.

  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).

  • Eligible to work in the United States without the need for employer visa sponsorship now or in the future.

Preferred Qualifications:

  • Bachelor's degree in communications, Public Relations, Marketing, Journalism, or relevant discipline.

  • Excellent written and oral communication skills; ability to communicate efficiently and effectively with a wide variety of internal and external audiences.

  • Ability to work successfully in a high pressure and deadline-driven environment.

  • Strong organizational skills and a very high level of attention to detail and timeliness.

  • Self-starter with a great work ethic who can work under pressure while maintaining quality across multiple assignments.

  • Ability to thrive in a fast-paced, high achieving, entrepreneurial environment.

  • Previous experience coordinating corporate spaces with multiple set ups and special requests

  • Previous AV equipment troubleshooting experience

There is a preferred candidate identified for this position.

Base Pay

$23.37 - $31.01 USD Hourly

Bonus: 15%

The base pay range reflects the minimum and maximum target salary for the position. Invenergy considers a number of factors when determining base pay offers such as the scope and responsibilities of the position and the candidate's experience, education and skills.
