We are looking for a talented individual…

To join our team as a Program Coordinator! The Program and Operations support staff ensure smooth delivery of projects and programs, both internally and externally; while adhering to program, practice, and operations guidelines. Program and Operations support staff roles often encompass multiple areas including; data management, metrics and reporting, team facilitation and coordination, and process definition and improvement. The breadth of scope ranges from supporting individual programs, projects, or processes at the lower levels, to supporting entire functions (practices, business development, etc.) or the company at the higher levels. These roles tend to be more internal-facing than client-facing, although people in operations roles will often have direct client, customer, or trade ally communication and contact.

Successful candidates will must reside in or be willing to commute to Madison WI.

  • Support internal operations by handling various mail tasks such as preparing, scanning, and routing mail accurately and per client business rules. Route mail, faxes, emails, and online submissions and responses to the appropriate program staff.
  • Assist in processing program and income qualified rebate claims while maintaining physical and electronic records for all program projects.
  • Perform clerical duties including data entry, mail management, file merging, and assisting in the management of file archival systems while upholding customer privacy policies and following office procedures to ensure data security and workflow efficiency.
  • Handle incoming and outgoing calls, maintaining client privacy standards, and escalating priority issues when necessary. Additionally, respond to inquiries from customers through phone, chat, and email, providing prompt and accurate information and resources.
  • Complete review processes by obtaining and reviewing supporting documentation in accordance with terms and conditions of the program.
  • Export predesigned reports
  • Oversee the managent of shared inboxes, prioritizing responses, and routing correspondance as needed
  • Attend staff meetings and other program support
  • Complete special projects
  • Hours worked: Monday to Friday; 9:00am-5:00pm

In this exciting career opportunity, you will have…

  • 0-2 years of relevant industry experience
  • Good verbal, organization, customer service and written communication skills.
  • Knowledge of or ability to learn and accurately apply application processing techniques, procedures and practices in a timely manner is essential.
  • Fluency in the use of Microsoft Office, specifically Outlook, Word, and Excel.
  • Must be a Wisconsin resident, must be willing to commute to Madison Office 5 days a week.

Compensation:

$18.00 - $20.00 / hourly

Any offered salary is determined based on internal equity, internal salary ranges, market data/ranges, applicant’s skills and prior relevant experience, certain degrees and certifications (e.g. JD/technology), for example.
