Position Title: Sr. Service Coordinator

Position Summary:

 

The Sr. Service Coordinator assists with preparing and coordinating the development and implementation of energy storage projects and the associated service team supporting requirements. This role involves establishing and maintaining project management and procurement processes, including Risk Assessment and Method Statement (RAMS) creation and tracking, health and safety regulations/qualifications tracker, calibration register, logistics interface, spare parts register/tracker, work orders, and purchase orders. Additionally, the coordinator will assist with invoicing.

Knowledge of energy storage systems, project management processes, construction management processes, CMMS (Computerized Maintenance Management Systems), and battery system applications is highly desirable. Experience with project execution processes is essential.

 

Responsibilities:

  • Develop integrated schedules and establish baseline schedules/logistics with the Service Team for various BESS projects, covering stages such as Procurement, Commissioning, Operations, and Maintenance.
  • Design, create, and maintain detailed trackers, ensuring accuracy and data integrity.
  • Perform advanced Excel data analysis tasks using complex functions and formulas, PivotTables, macros, and conditional formatting to create comprehensive reports.
  • Develop, maintain, and audit trackers for parts, site tools, and technician tools.
  • Onboard new technicians, contractors, and vendors.
  • Collaborate with service team management, legal, and contract companies to draft and submit MSAs, CRFs, and Work Orders, driving them through the approval process.
  • Review and process invoices from vendors and contractors, tracking them in budget format to ensure cost objectives are met.
  • Identify critical paths to complete tasks and manage them until completion (self-starter, autonomous).
  • Oversee Time Management for Field Services, including labor allocation, timecard tracking, field assignments, and fleet scheduling (for service techs, contractors, etc.).
  • Manage Vendor Relations: cost estimates, reporting, project allocation, and trackers.
  • Review and verify documents for completeness, format, and compliance.
  • Collect and submit necessary documents for purchase requests and collaborate with Procurement to finalize purchase orders.
  • Track ordering processes and receipt of goods in the field.
  • When requested, work with various departments to obtain reports, consolidate data, and validate project spend.
  • Build strong relationships with corporate support functions, including Legal, Procurement, Project Management, Human Resources, and Payroll, to ensure compliance with regulatory requirements.
  • Adhere to all health and safety regulations and procedures.
  • Perform additional duties and projects as assigned.

 

Qualifications and Experience:

  • Bachelor’s degree or diploma in a related technical discipline from a recognized university or college.
  • Minimum of 2+ years of relevant experience or an equivalent combination of education and experience.
  • Must have experience in the renewables sector or a service background.
  • Strong interpersonal and communication skills (oral, written, and visual).
  • Excellent organizational and time management skills, with the ability to manage tight deadlines.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint. Advanced Excel skills are required.
  • Expert experience with scheduling in MS Project (P6 experience would be an asset).
  • High level of accuracy and attention to detail.
  • Ability to build and maintain effective working relationships internally and externally.
  • Demonstrated independent thinking, initiative, and creativity.
  • Ability to function effectively both independently and within a team.
  • Professional appearance and conduct.
  • Ability to work flexible hours, including evenings and weekends as required.
  • Valid driver’s license, valid insurance, and access to a reliable vehicle.
  • Some travel to project sites may be required.
